Honestly: mbox versus the rest.

Gmail, Outlook, Proton, Polymail and Superhuman are each good at something different. See where they win, where we win, and what mbox still lacks.

As of 19 Oct 2026, based on public information. Things change. Spot a mistake? Write to kontakt@mbox.ulewicz.space and we will fix it.

Three things nobody puts in one place.

In our analysis the market split into camps: AI inboxes, sales tools and private email. mbox tries to put them together.

AI in your inbox

Superhuman, Shortwave, Gmail + Gemini

Summaries, drafts, questions about your mail. Usually US-hosted and unencrypted.

Tracking and sequences

Polymail, Mixmax

Opens, clicks, automatic follow-ups. Usually an add-on to someone else’s inbox.

Encryption

Proton, Tuta

E2E and zero-access. Usually without AI and without tracking.

mbox: all at once

Your own inbox with AI, tracking, sequences and OpenPGP encryption. Hosted in Germany, from $0.

mbox vs Gmail + Gemini

Price Workspace from about $7–14 per user, depending on plan and Gemini (indicative).

mbox mbox: Free $0 · Domain $2.90 · Pro $5.90 · Team from $8.40/user · Business $10.90/user

Gmail + Gemini wins at:

  • The whole Google ecosystem: Calendar, Drive, Meet, Docs.
  • Apps on every platform and full IMAP access today.
  • Mature spam filtering and deliverability that a new mail server is still earning.
  • Admin console, SSO and mature company policies out of the box.

mbox mbox wins at:

  • End-to-end encryption and zero-access, which Gmail does not offer regular accounts.
  • Data in Germany, no ads and no profiling.
  • Tracking, sequences and commitment detection in one place.
  • Your own inbox at one price for the whole kit.

Choose them if…

mbox vs Outlook + Copilot

Price Copilot is roughly $30 per user a month on top of M365 (indicative).

mbox mbox: Free $0 · Domain $2.90 · Pro $5.90 · Team from $8.40/user · Business $10.90/user

mbox mbox wins at:

  • End-to-end OpenPGP instead of S/MIME that few people configure.

  • Your own inbox with E2E and zero-access encryption.
  • Data in Germany instead of the US.
  • Sequences, click tracking and commitment detection.
  • Price: Pro is a fraction of Starter. mbox has shortcuts too (j/k, ⌘K), though not as polished.

Choose them if…

Choose Superhuman if you want the fastest way through a Gmail or Outlook inbox and budget is no concern.

Choose mbox if…

Choose mbox if you want fast email with AI, but on your own encrypted inbox in the EU.

What is different

Where mbox really stands out.

AI, tracking and encryption in one inbox.

Productivity tools are usually US-hosted and lack E2E, while private tools lack AI and tracking. We bring both worlds together: one inbox, one price.

Promise detection

“I’ll send the offer Friday” in a sent email becomes a reminder with a draft ready. In our table, nobody else does this.

Honest tracking

Opens through proxies (Apple Mail, for one) are flagged as such. Numbers do not lie, and you do not celebrate too early.

Password email to anyone

An encrypted message to someone without mbox, opened in their browser (AES-256-GCM). No account needed on the other side.

Your own inbox in the EU

Hetzner servers in Falkenstein. It is not an add-on to someone else’s mail, so your data does not travel through the US.

One price for the whole kit

Pro at $5.90 replaces several subscriptions, and the Free plan already includes 15 GB, 100 AI actions and encryption.

Your own domain for $2.90

A mailbox on your own address, with AI and tracking, for the price of a coffee a month. One person, 30 GB, 300 AI actions a month.

Also included

The small things that make the everyday.

Beyond the main pillars, mbox has plenty of features that are not in the table. Where someone did it first or better, we say so.

  • Screener

A first-time sender waits for your decision before reaching your inbox. HEY popularised this idea and does it very well.

  • Masked aliases

A hide-my-email address for signing up around the web. Proton and Apple, among others, offer similar aliases.

  • Paper Trail

Receipts, orders and invoices land in their own place automatically. HEY has a very similar feature.

  • Notes and tasks from email

Turn a message into a task or a note with one key, no separate app.

  • Rules and filters

Automatic labels, moves and actions by your own rules.

  • AI: translate and tone check

Translate messages, check the tone before sending, plus auto-labels and auto-drafted replies.

  • Voice dictation

Dictate a message instead of typing it. AI tidies the text.

  • People: a mini CRM

Contact history, notes and keep-in-touch reminders. It is not an external CRM, but it is enough to start.

  • Import and full export

Import from Gmail and Outlook over IMAP, and export everything whenever you like.

  • Push and an installable PWA

Notifications on phone and desktop without an app store. Native apps are still to come.

  • App passwords

Separate passwords for sending from other programs over SMTP, revocable in one click.

  • Login alerts

A message when someone signs in from a new device.

Honestly

What mbox does not have yet.

Where competitors are ahead of us today, with the phases from our roadmap. Dates are estimates.

  • An IMAP server to fetch mail from mbox

Connecting other mailboxes (Gmail, Outlook, iCloud, Yahoo, IMAP) and app passwords with sending over SMTP already work. Missing is an IMAP server that Thunderbird or Apple Mail can pull mbox mail from, including encrypted mail through a local Bridge.

    Phase 1 · Q4 2026–Q2 2027
  • Native apps for Windows, macOS, Linux and phones

Today you install mbox as a PWA with push notifications. Native apps (Tauri, Capacitor) arrive in Phase 1.

    Phase 1 · Q4 2026–Q2 2027
  • External CRM sync

HubSpot, Pipedrive and Salesforce. You already have built-in People with keep-in-touch reminders.

    Phase 2 · Q3 2027–Q1 2028
  • SSO (SAML), SCIM and DLP

    For companies with compliance requirements.

    Phase 3 · Q2 2028–Q1 2029
  • AI on zero-access mail

One time, only the thread you pick, with a list of what left your device.

Method

How we compared.

  1. 1

    Sources

Vendor sites and public price lists checked on 19 Oct 2026. Where we could not fetch them, we use our own knowledge and mark it with †.

  2. 2

    Legend

We mark “partly” when a feature sits in a higher plan, works with caveats or needs an add-on. It is a judgment, not a verdict.

  3. 3

    Corrections

Competitors’ products change fast. If something is out of date, tell us and we will fix it within days.

Questions about the comparison

Why aren’t Shortwave, Spark, HEY or Tuta here?

We focused on the five products people most often compare us with. We keep a fuller market analysis internally and will extend this page.

Is mbox better than all of them?

No. Gmail wins on ecosystem, Outlook on M365 integration, Proton on privacy maturity, Polymail on CRM, Superhuman on speed. mbox wins on combining AI, tracking and encryption in one inbox, in the EU.

Can I move my mail from Gmail or Outlook?

Yes. You import mail from Gmail and Outlook over IMAP and can do a full export at any time. You take everything whenever you want.

When will the apps and IMAP arrive?

An installable PWA with push notifications works today, and app passwords with SMTP let you send from other programs. Native apps and a full IMAP server are Phase 1 priorities (Q4 2026–Q2 2027).
